Role introduction

Go2Africa is recruiting Product Administrators! The Go2Africa Product team takes accountability for a broad range of business functions, this includes supplier relationship management, product research and requisition, supplier training and educational travel. Product Administrators provide administrative support across many of these areas, with the goal of enhancing team effectiveness and efficiency. We are looking for skilled administrators, with a passion for luxury travel in Africa and conservation.

Candidate requirements

Experience

  • Proven track record of success in task management, project co-ordination, administration and time management
  • Travel industry experience in either lodges, hospitality, agency or operator an advantage
  • Geographical knowledge of South Africa top tourist destinations, Africa top tourist destinations an advantage

 

Qualifications

  • Matric
  • Tertiary qualification or previous work experience in travel or hospitality an advantage

Functional responsibilities

Key Responsibilities

Product Production & Task Administration Cycle: taking a product* from source to market (sales team & website)

 

Research & Requisition 

  • Online research (Trip Advisor, product* websites) and collating information to share with the Product Manager
  • Email Communication & Information Gathering (Images, Rates, Fact Sheets) 
  • Information comparison of rates & payment terms – ensuring that this less onerous than our internal terms
  • Data capture & Information processing
  • Source & process information via the production team for website for product* changes & updates. This includes updated information (content, images, fact sheets etc.) which will be queued through so Bazaruto & G2A website is up to date

 

Training 

  • Liaise with suppliers to coordinate office training for Operations team. These sessions occur roughly 6 – 8 times per month. 
  • Research & populate PowerPoint presentations & Word Assessments on the product*, its destination & logistics for internal presentations to the Operations team. 
  • Reporting monthly & annually on training sessions that have occurred

 

 

Travel Administration

 

  • Liaise with suppliers to organise staff travel trips to experience the destinations, logistics and product*
  • This includes booking flights, accommodation, transfers, car hire, organising petty cash and travel objectives for staff travelling
  • Reporting monthly & annually on staff travel that has occurred

 

Destination, Product & Logistics Knowledge Development

 

  • Starting with Cape Town and the Western Cape attend all training sessions and product* inspections with the view of becoming an expert in these destinations & on these hotels*
  • Writing assessments to certify destination & product knowledge for self-development

 

Reporting 

  • Pulling BI reports on Supplier Spend to ensure Preferred Partner spend is on par with 
  • Monthly reporting on Production tasks and processes
  • Monthly reporting on New Products added to Bazaruto 

 

Fast Tracks 

  • Managing process of requesting information of new product within designated time frame and sharing with Production for loading in order for efficient sales use
  • Working with suppliers & Production to ensure product is loaded 
  • Monthly reporting so Product Managers have an overview of non-preferred tasks added to Bazaruto

 

Product Development, Marketing & Publishing Administration  

  • Build & edit packages/templates** with direction from Product Manager for website marketing
  • Recosting of rate bands in Bazaruto
  • Calculate savings targets on specials for website marketing hotels* or packages**

 

General Administration Assistance 

  • Assist team with overflow workload
  • Collate weekly information for sales communication newsletters
  • This includes product & destination audits
  • Creating and maintain destination cheat sheets for Operations use

 

*product can refer to a lodge, tour, transfer service or any other ‘product’ or ‘service’ we purchase from a supplier
